RPA: Streamlining Business Processes

Key Points

  • Businesses aiming to grow confront a fragmented tech stack—including spreadsheets, databases, email requests, and legacy applications—that act as “digital tape and glue,” requiring heavy manual coordination.
  • This fragmentation forces employees into repetitive, low‑value tasks, draining productivity and causing frustration and dissatisfaction.
  • Robotic Process Automation (RPA) combines AI‑enabled low‑code integration to automate those tedious business and IT processes, freeing employee brainpower for higher‑impact work.
  • In the Acme Corporation example, rising demand overwhelms finance, sales, and operations with email‑driven requests, a situation RPA can streamline by handling invoice processing, order handling, and other routine actions automatically.

0:00Every business wants the same thing: to grow and scale. 0:04But as these businesses scale, they deal with many different issues. 0:08They oftentimes involve a variety of disparate products. 0:12We see things such as spreadsheets 0:14that are going to maintain the day-to-day basis of the business, 0:18where different information is captured and tracked by the different business users. 0:23We see databases that contain the actual functional business data 0:28that is necessary for the business to run smoothly, 0:31that is maintained and comprised of the information from these applications. 0:36We see emails that include a variety of unstructured requests, 0:41such as individuals asking for operations done to their account. 0:45And we see the business applications themselves that the business runs on. 0:50These applications that have existed for many, many years 0:53and they make the structure of what the business uses to be successful. 0:58Now, the problem with all of these different applications 1:01is that they're essentially a form of digital tape and glue. 1:04They all connect not very well together and require a lot of manual effort. 1:09So because of this, we see employees that are getting very bogged down 1:13with a lot of different issues related to that. 1:16We see our employees are being stuck in very time consuming tasks 1:21where they have to spend a significant amount of time doing these repetitive tasks 1:26that ultimately aren't very valuable for them. 1:30It's not using the employees' brain powers for what it's meant to be. 1:33These repetitive tasks suck up a tremendous amount of time 1:37and ultimately aren't a very good effort, aren't a good usage of the employees. 1:43And then ultimately it's going to lead to a lot of unsatisfaction with the employees as well. 1:48Those employees are doing things that they just don't find enjoyable and frustrating. 1:54But before I go on ... 1:55Hey, if you like this video, please like and subscribe to our YouTube channel so we can continue making more content like this. 2:01That's where RPA steps in. 2:03Robotic process automation is a system of using software robots to execute those 2:08tedious, painful business and IT tasks that are really bogging down those employees. 2:14Now, the robotic process automation infuses artificial intelligence 2:19with capabilities of integrating and interfacing with applications 2:23in a low code manner to take those desired actions. 2:27So let's go to an example. 2:29Acme Corporation has been successful for 20 years. 2:32We've seen them manufacturing a tremendous amount of widgets 2:35that have ultimately been selling extremely well recently. 2:39The increase in demand and supply is great for the company, 2:42but they just are dealing with issues related to the problems we mentioned earlier. 2:47We see things such as the finance and sales teams 2:50dealing with a tremendous amount of requests for users who might want to purchase a product, 2:55invoices, actions, things of that nature flowing in through email 2:59that the team just can't work through fast enough. 3:03We see the operations team is dealing with a tremendous amount of painful 3:07issues where they're moving data from one system to the next. 3:11Essentially a swivel-chair operation 3:13where they have a legacy application that the business is running on 3:17and they have to cut-and-paste or copy information from that application 3:22to a spreadsheet or to the business components that cause a tremendous amount of pain. 3:29There's mis-types and missed strokes with the keyboard, 3:32users entered the wrong information or typed the wrong values into the wrong user accounts. 3:38We see that the IT team is dealing with a lot of pain related to the operations and sales team, 3:43who might mis-enter that information. 3:46When that information flows along, 3:48it requires the IT team to actually go in and update the databases behind the scenes. 3:53So our IT team is getting involved in a tremendous amount of business processes, 3:58which they really shouldn't be doing. 4:01And ultimately that's requiring a lot more employees that are sucking up a lot of resources, 4:06a lot of education, and ultimately just seats that can't be filled 4:10because there's such a high demand for the business. 4:16So we're dealing with a tremendous amount of people who need to be hired. 4:20So how can Acme Company deal with these problems? 4:23Acme Company is able to grow and scale 4:25because they're able to deal with these business processes that we talked about with RPA. 4:30Now, with Robotic Process Automation (RPA), 4:32we can take each of these different components and resolve their issues. 4:36So the sales and finance team that was stuck doing a lot of manual processing of emails, 4:42having to read and understand what they are, who they're asking for, and creating a tremendous inbox delay, 4:49we're able to automate those and use our RPA's core capabilities with artificial intelligence. 4:55Reading the subject lines of the email, 4:58understanding what the user is asking for, and taking those actions automatically. 5:03So we're able to process those, 5:05understand and read the subject line, and take those actions. 5:09Now, our operations team that is being used to deal with different applications, 5:15swiveling data back and forth between a spreadsheet and a core functional business application, 5:21we no longer have to worry about those users making any mistakes or moving the data over improperly. 5:29Or even just having to go through the steps of entering the data of simply form entry. 5:34Because when we have these applications 5:37that are going to process the different components and we're able to infuse it with AI and RPA, 5:43we're able to actually automate these components. 5:46We no longer have to worry about entering that information, 5:49and because our bot is able to do the copying and pasting for us. 5:55Then we have our IT team. 5:57Our IT team is able to focus on their core competencies 6:02of making the business run fast and clean 6:05because they don't have to worry about fixing these business errors. 6:09Our IT team is working at 100% efficiency 6:12because they don't have to deal with going into these other systems. 6:17We know that the information is always going to be accurate based on what the form is saying. 6:22We don't have to worry about any operations or sales and finance mis-typing. 6:29Now with these pieces, we're able to see that RPA is able to resolve all of these issues with the business. 6:35We're able to see the previous state where the business is getting bogged down 6:39by the infusion of this digital tape and glue 6:42of applications communicating with each other. 6:45We're able to see an example of where RPA is able to understand 6:51and build out the process of Acme Company. 6:53We're able to see the benefits of applying robotic process automation to those pieces, 6:58and how we can infuse it with AI 7:01to allow us to get it done faster, cleanly and more efficiently. 7:06If you like this video, please make sure to like and subscribe so we can make more content for you. 7:11And of course, if you have any questions, leave them in the comments below.
